With the growth that Denys E Head was experiencing, coupled with the expansion into new markets, Denys E Head looked at ways in which they could automate administration to record their ever increasing operations. It was decided that a new Time and Attendance System was required as the Company looked to replace their old manual approach to recording staff's working hours and shift patterns.
"Before ISYS we used a manual system for Time and Attendance. The recording and calculations of clock cards was time consuming and could be inaccurate. It was difficult to operate flexible working patterns and as we have a seven day working pattern rota's could be complicated. Overtime calculations were another problem"
Terry Medway – Financial Controller, Denys E Head
With the company now employing over 100 members of staff Denys E Head entered the market in 2005 for a new automated Time and Attendance System. On top of the priorities list was the need to eliminate the manual time it required to enter and calculate the staff's core and overtime working hours. With the expansion that the Company had witnessed, and the planned growth that had been forecasted, it was providing a huge strain on the payroll administration to enter such data and then to present it within a reporting format for managers. Indeed, capturing and presenting such data was one of the main responsibilities for the payroll administrator.
ISYS were approached in 2005 to provide a solution to solve the companies problem of recording working patterns and reduce the time spent on payroll administration.
"We Chose ISYS because they were friendly and helpful to work with. The system is flexible and can accommodate our many divisions and cost centres. There are some extremely useful reporting features pre built into the Reporting Suite. The scalability of the system also allowed us build and design and variety of working patterns"
Terry Medway – Financial Controller, Denys E Head
System Overview
Denys E Head operate the Intelligent Time Module from the Intelligent Systems suite.
The Intelligent Time module is used to record up to 180 employees working hours and patterns with it being administrated by two users. By using the flexible 'Tree Structure' within Intelligent Time Denys E Head are able to incorporate all three sites, Forest Lodge, Birdworld and Garden Style, into the one system and thus allow the administrators to manage all 3 divisions within the 1 central system.
To help capture the employees working hours Denys E Head use six Proximity Clocking Terminals throughout their site. Each employee is set up to be able to clock into specific Terminals to help manage employee movement throughout their premises. The Terminals also allow employees to change cost centres throughout the day should they be assigned to new projects which in turn allows Denys E Head to accurately report upon labour expenses per job area.
Summarise
Since the introduction of Intelligent Time Denys E Head has continued to grow, with now an estimated turnover of £6.5 million per year. For any organisation of this size to represent a turnover like this then it has be organised and managed efficiently. ISYS believe that our Time and Attendance system has helped Denys E Head to streamline their administration practices which has enable labour and time to be spent elsewhere in an attempt to maintain their success. Furthermore we at ISYS feel that this case study has demonstrated our ability to build and maintain long term relationships with our customers and provide a Time and Attendance system that they can growth alongside.
ISYS would like to thank Denys E Head for their time and assistance in this case study.
