Somerset Redstone Care Homes choose Intelligent Time solution for Time and Attendance

Care Homes Trust streamlines timekeeping and improves HR administration benefits for employees with the application of Isys Solutions.

Somerset Redstone Trust is a registered charity whose purpose is to provide the highest quality care and accommodation for the elderly. The charity owns and operates three large sheltered housing sites across three counties consisting in total of 140 apartments and cottages.
The trust also owns and operates 5 care homes across 4 counties providing nursing and social care, one specialising in dementia care. The homes vary in size from 30 registered beds to 66 beds, and are located in Hereford, Bromsgrove, Crewkerne and Exmouth. The charity employs approximately 320 full / part-time staff.

Research

Finding that their existing payroll system was extremely complicated and labour intensive. In 2006, the Trust researched the market for an appropriate Time and Attendance system, which would provide more efficient PC-based time keeping and rota management and managing HR within the organisation. Following interviews and presentations, 3 companies were shortlisted,
with the Intelligent Time Systems from Isys being successful with its bid and selected for trial.

Trial

In February 2007 Newstead House in Hereford was configured for trial, which was to last approximately 6 months. A Project Manager was assigned from Isys and liaised closely with the Trust’s Head Office Finance team based at Catchell House (located just outside Taunton, Somerset) to set about formulating the shift patterns and working days for Intelligent Time, the process took a few weeks but reaped significant benefits a it highlighted the variety of shifts being worked across the group. From the information obtained, a far more efficient and coordinated working day structure was formulated which was of immediate benefit to the Trust and its staff.

There have been some really positive rewards with Intelligent Time from Isys Care, particularly in relation to sickness and absence, and providing accurate time keeping. There has also been a financial impact with the pay budget being better managed, freeing up senior staff to manage the homes and staff rather than spend lots of time preparing hours and pay each week.

System Benefits

Following a successful trial, Intelligent Time was rolled out to all the homes across the end of
2007 and the system has been live since 1 April 2008. This was a significant investment from
the Somerset Redstone Trust in terms of time and money, which Simon Theobald claims has
been worthwhile in delivering some very positive rewards.

Ongoing support, expansion and integration

And following the success of Intelligent Time for time and attendance management, Somerset Redstone now pan to expand the system by adding the Isys Access Control module to monitor access on site and improve security. This will mean implementing access control on 6 doors initially to increased security in-line with more efficient data management. The other benefits if integrating access control include detailed health and safety reports, fire reporting and resident protection from intruders.
