Personnel Today

As a result of a thorough procurement process we found Isys Intelligent Time systems to have the most functionality and flexibility suited to the needs of our business while providing user friendly software.

The competitive cost ensured the project was brought in on budget, for the main Time & Attendance system and the development for the interfaces for HR and Payroll.

Mactaggart and Mickel Group

“Our old manual time sheet system cost the business 30 man hours per week, with Intelligent Time & Attendance we have cut that down to 1 hour.”

Justian Cross I.T Manager – Loch Lomond Golf Course

“It was the Microsoft Outlook format and the 3 panel interface that Intelligent Time had to offer that really attracted us. From the start all users felt comfortable with the System due to its outlook appearance and so the system proved to be very easy to use and navigate around.”

Time and Attendance - Shifts, Flexitime & Annualised Hours

Intelligent Time and Attendance is fully configurable, and capable of dealing with any combination of shift or working pattern. This provides a complete robust solution to manage your entire workforce.

Time and Attendance - Shift Work

Intelligent Time provides a powerful shift management system that automates the recording and administration of your staff time records.

This is achieved recording working hours by category, calculating seperate balances like flexi-time or multiple over time types, automatically flagging records that require administration, whilst always providing real-time views of this information, both on-screen and via external reports and e-mails.

Our time and attendance system caters for an unlimited combination of contractual terms and shift working rules, including:

Flexi-Time Fixed hours (with / without overtime), Anualised Hours, Committed hours.

These are then managed by any pattern of working that your business uses, all of which are programmable in the software which we'll initially setup for you, as well as provide detailed training for your ongoing use.

Example include:

Three-shift system- Four on, four off
Four on, two off
Two days, two nights, four off
12/24/12/4
Continental shift
Split shift
Earlies and lates
7-day fortnight shift
DuPont 12 Hour Rotating Shift
Seven Day Eight Hour Rotating Shift
Sixes

Once programmed into the time and attendance system the working shifts are held in a library from where you can allocate them to staff, or update settings and rules as your business rules evolve.

The calendar and admin screens then allow you to view the working patterns allocated to staff, plan for business demands, holiday and absence or just monitor attendance and respond to exceptions as they occur.

Time and Attendance - Flexitime

For employers, flexitime can aid the recruitment and retention of staff and also help provide staff cover outside normal working hours and reduce the need for overtime.

Additionally flexitime can also improve the provision of equal opportunities to staff unable to work standard hours. Our time and attendance system can be easily configured to monitor a variety of shifts - including flexitime.

Flexitime can give employees greater freedom to organise their working lives to suit personal needs. In addition, travelling can be cheaper and easier if it is out of peak time

Benefits

  • Employees have the opportunity to manage their work load better over the flexi period to suit circumstances.
  • Employers benefit from a more committed, motivated and happier workforce
  • The choice of starting early or leaving late in order to meet external commitments is empowering for staff.

Flexible working is growing in popularity the UK and Europe with more businesses every year empowering employees to work more varied and flexible hours.

Whilst flexibility can yield significant improvements in effectiveness and efficiencies of staff, it can also cost dramatically if not managed correctly. The Intelligent time and attendance product is a management tool designed to enabled flexi-time practises whilst still keep you in control.

Common types of flexible working are:

  • Part time: working less than the normal hours, perhaps by working fewer days per week
  • Flexi Time: choosing when to work (there's usually a core period during which you have to work)
  • Annualised Hours: your hours are worked out over a year (often set shifts with you deciding when to work the other hours)
  • Compressed hours: working your agreed hours over fewer days
  • Staggered hours: different starting, break and finishing times for employees in the same workplace
  • Homeworking: working from home

All of the above can be implemented and successfully managed using our Time and Attendance product- Intelligent Time.

Combined with a tailored package of professional services, Isys staff can help guide your company to succesfully introduce more flexible working practises.

Time and Attendance - Annualised Hours

Annualised Hours agreements provide many employees with the ability to achieve a more desirable work – life balance and to have more control over their time.

Annualised Hours Contracts can work well with part time arrangements and may also be scheduled in order to achieve term time working which is ideal for working parents.

Intelligent Time Annualised Hours working rules comply with the changes introduced on 1st April 2009, particularly, concerning the increase in the statutory holiday entitlement and payment in lieu of holiday. From 1st April 2009 statutory holiday entitlement increases to 28 days from 24 days, including public and bank holidays.

Various other forms of contractual flexible working exist such as committed hours.

These schemes are particularly suited to tailoring your rostered labour to meet seasonal variations in your business, without incurring unnecessary overtime payments for peak times.
